Summary

West Nautical is recruiting a Technical & Project Assistant for a Nautical Management Services based at our Team Valley office in Gateshead.

Nautical Management Services is a leading service provider, offering services from safety and security, operational management and emergency response, to full technical and project management for new build and refit projects. With a dedicated team and a focus on client satisfaction, we strive to deliver exceptional satisfaction for the owners of any vessel.

A subsidiary of the West Nautical Limited group providing services to luxury yacht owners and enthusiasts worldwide.

Who have over 50 members of staff worldwide with our main offices being in the North East.

The Technical and Project Assistant role is based at our Team Valley office in Gateshead and comprises a combination of technical support for the Vessel Management team and support for the remotely operating Project Managers working on major refits or at new build yards.

The job description is as follows:

•Assist as directed with the monitoring of the safety and environmental/pollution prevention aspects of the vessel operations and ensure that adequate resources and shore based support is provided as required;

•Respond in a professional and timely manner to all client emails and requests;

•Respond in a professional and timely manner to all supplier emails;

•Provide support for ensuring the validity of vessel certificates;

•Assist with the day-to-day maintenance and monitoring of the technical related Safety Management System and all required vessel specific documentation;

•Monitor changes to legislation and best practices;

•As directed assist with the receiving, monitoring, recording and overseeing of observations, NCRs, accident reports, near misses, on-board management meeting minutes, hours of rest;

•Liaise with the Vessel Management Assistant with regards to receiving, monitoring and recording defect reports;

•Stand in for the Vessel Management Assistant as and when required;

•When directed work with Flag Administrations and Classification Societies in relation to communication of conditions of class, memos or any other technical defects raised during survey.

•Assist with the co-ordinating surveys and audits with Flag Administrations and Classification Societies, as required;

•Assist with the monitoring of SMS Chapter 8 the Safety Management System “Emergency Preparations” and all related certification and documentation requirements;

•Assist with the monitoring of SMS Chapter 10 the Safety Management System “Maintenance and Inspection of the Yacht and Equipment ” and all related certification and documentation requirements;

•Assist with the identifying, along with the Captain and relevant managers ashore, any required amendments or development of Company procedures and other management system documentation

•Monitoring and developing yacht planned maintenance systems

•From time to time attend vessels as part of the audit team and to provide on-site support;

•Assisting with technical cost analysis for vessel operations;

•Assisting with the drafting technical fleet notices for transmitting important new flag / class / industry requirements and safety information;

•Assist with the development and maintain company checklists and procedures including Maintenance Manager;

•Introduce and uphold the company safety culture to new and existing vessels within the fleet;

•Assisting with monitoring and updating of the yacht specific Permits to Work, Risk Assessments and Risk Based Procedures as appropriate;

•Assist with the building annual vessel budgets as required;

•Where required assist with the procurement of stores and consumables for the vessels;

•Assist the creation of refit specification and dry dock planning tender packs as required;

•Attendance for monthly management meetings, internal audits and DOC audits.

•Assisting the Technical Manager to ensure the following are updated within Horizon: Maintaining all SMS monitoring calendar, Prepare sections of internal monthly management meeting minute

•Assist with the West Nautical Team including the following;

-Preparing monthly build reports for the various new build projects

-Maintain and excel sheet for each new build project listing outstanding queries

-Being in copy and monitoring all emails for relevant projects, sharing information with relevant colleagues and ensuring responses are sent in a timely manner;

-Manage and maintain the list of documents, diagrams, files and drawings for all relevant projects in OneDrive, Google Drive and other software platforms including but not limited too:

-GA

-Technical drawings

-Gantt charts

-Change orders

-Sales specs

-Build contracts,

-Interior design files,

-Progress reports,

-Defect register.

-3rd party company reports (i.e. paint, AVIT etc)

-Critical log,

-Weight log,

-Type Approval Documents,

-Certificates etc.

•Remove any obsolete documents in one drive, google drive and other software platforms

•Be familiar with the company’s project management requirements depending on the contract and client

•Be familiar with maritime and industry specific building regulations, laws, trends, upcoming changes and keep the company and management department informed of any changes affecting the new build fleet (i.e. MLC, Large Yacht Code etc)

Qualifications: Marine Engineering qualifications

Experience:

•Experienced maritime professional with a background in commercial shipping or luxury yachting.

•Experience and aptitude in customer service

•Experience in working to tight deadlines / short turn arounds for work and an exceptional level of detail

•Of working in a 24/7 working environment.
